Job Announcement: Operations Assistant

Critical Resistance (CR), a national grassroots organization working to end the prison industrial complex (PIC), seeks an Operations Assistant to help with the organization’s day-to-day systems, logistics and projects that will support members and staff with carrying out campaign and organizational goals. This is a part-time position capped at 20 hours per week and is based in Oakland, CA. This is a 6-month position with the possibility to renew to full-time in spring 2020.

 

Position Description:

The Operations Assistant will work with staff and members to maintain CR infrastructure, improve internal systems, and provide accurate and timely information to the organization’s donors, supporters, and correspondents. The Operations Assistant will play a key role in coordinating CR’s systems and functions, including finance, human resource materials (staff health insurance, etc), technology, and day-to-day administration. Through office support, contact management, and mail maintenance, this position provides relevant support to prisoner mail programs, campaign contact documentation, and other events and programs.

The Operations Assistant will primarily work with and receive direction from CR Co-Directors, however, will also support and interface with members nationally via phone, email, and in-person interactions.

 

Duties and Responsibilities:

  • Support Development staff with contact and donor management through tracking incoming donations, sending donation receipts, report generation and list segmentation for mailings and online communications

  • Perform and manage data entry of organizational contacts

  • Provide financial and administrative support for organizational bookkeeping processes

  • Manage and pay bills, reimbursements, vendors, office equipment, and equipment leases

  • Provide support for managing a cloud server and cloud based contact management infrastructure

  • Act as Office Manager:

    • Tracking and ordering office and program supplies

    • Answering phone calls

    • Managing incoming and outgoing mail

    • Creating systems to organize files and materials

    • Order and organize office supplies

  • Provide logistics support for fundraising and political events

  • Support the organization’s use of internal systems and processes by providing training and creating protocol materials for staff and members as necessary

 

Qualifications

  • Computer knowledge and skills a must

  • Comfortable working with large spreadsheets

  • Experience with database management and data entry. Experience with Salesforce, Mailchimp or other cloud-based CRM and communications systems preferred

  • Experience with cloud-based applications and file management systems such as Box

  • Experience with various types of company insurance plans

  • General office management or human resource experience

  • A willingness and desire to learn

  • Strong organizational skills and ability to manage multiple, competing priorities.

  • Ability to demonstrate strong time management

  • Ability to communicate well to various teams of people

  • Ability to work collaboratively with other staff and members

Additional Skills and Experiences

  • Experience working in a non-profit or membership-based organization. Experience with non-profit fundraising a plus.

Compensation:
Hourly pay on same scale as other staff positions, approximately $25/hr.
